Tutorial #QB7-2: Add a User

Intro: You can add as many users as you like to QuickBooks. Each user has a unique login password and rights to specific areas of the company file.

Step 1: Open User List
Open the Company menu and choose Set Up Users and Passwords, then choose Set Up Users. The User List window will appear. If you haven't yet set up the Administrator, you need to do that first. Go back to the Set Up the Administrator tutorial before continuing here.

Step 2: Begin user Setup
Click the Add User button when you are ready to identify a new user who will have access to your QuickBooks company file.

Step 3: Enter Name and Password
Enter the name by which the user will be identified, then either the administrator or the user should enter a password for this user (up to 16 characters), and enter the password again to confirm. Click the Next button to proceed.

Step 4: Choose Level of Access
Indicate if this user will have access to all areas of QuickBooks or to selected areas. Click Next to proceed.

Step 5: Verify Complete Access
If you assign complete access to this user, you will be asked to verify that you really want the user to have access to everything. Click OK in this window if you want to give this user complete access, otherwise click No.

Step 6: Assign Selected Access
If you choose to give the user selected access to QuickBooks, you will be taken through a series of screens offering access rights to various areas of the company file and the QuickBooks program, including Sales and Accounts Receivable, Inventory, Payroll, Sensitive Accounting Activities, and so on.

For each area of the program, choose the type of access you want to assign to this user. Click Next to proceed from one screen to the next.

Step 7:  Verify Access Rights
The last screen shows you a summary of the rights that have been assigned to this user. Check over everything on this screen, clicking the Back button if you need to go back to make changes. Click Finish when you are satisfied with the information that has been recorded for this user.
