KnowledgeTree, provider of cloud-based document management solutions, announced a joint offering with Fujitsu, a provider of document imaging scanners and services, to marry bulk scanning and document management. A union made in virtual heaven, KnowledgeTree has extended its third-party application interface, Hot Folders, to work seamlessly with Fujitsu ScanSnap scanners, helping businesses streamline processes, and more importantly, reduce the incidence of headaches from sorting and organizing volumes of paper.
Accounting departments rejoice. The KnowledgeTree Hot Folder integration with Fujitsu ScanSnap enables businesses to scan invoices (individually or in bulk) and have them directly uploaded into the KnowledgeTree repository. Fujitsu ScanSnap scanners take the complication out of document imaging with one-touch ease of use and bring duplex multi-sheet scanning to everyone by combining performance and affordability in a compact size. Utilizing the ScanSnap scanners with KnowledgeTree’s Hot Folders interface, high-quality images of scanned invoices can be entered into a workflow that leads them through various customizable process steps, turning what was once manual and labor-intensive into a smooth and efficient process. It’s almost magic.
“Desktop scanners, like the Fujitsu ScanSnap series, are the heroes of simplified document storage, doing the heavy lifting of converting paper to bits,” said Daniel Chalef, CEO of KnowledgeTree. “The KnowledgeTree Hot Folders integration adds logic, organization and process to a seemingly endless well of billing information and invoices. For accounting departments, the combined solution is a bookkeeper’s dream come true.”
Here’s how it works. Once an invoice is loaded into the KnowledgeTree repository via the Fujitsu ScanSnap scanner (or any scanner), it can be entered into a user-customized payment process workflow. This may include routing to one or more approvers, verification and validation against a purchase order and queuing for payment. Once the billing process is completed, the invoice is stored electronically, eliminating the need for file cabinets (and saving lots of trees while you’re at it). Because KnowledgeTree is an online service, invoices are accessible from anywhere, providing flexibility for both large and small organizations.
“A busy accounting department can deal with hundreds, sometimes even thousands, of documents daily, from invoices to purchase orders to account amendments, and each paper is instrumental in the management of the business,” said Jeff Decarlo, senior director of Business Development, Fujitsu Computer Products of Ameriac. “Combining powerful scanning and capture technologies from Fujitsu ScanSnap scanners with KnowledgeTree’s online document management system will give businesses an edge on streamlining business operations so they can focus on the core business and not on document management. Companies will gain efficiency, and they’ll be able to access important invoice data anywhere at anytime.”
The KnowledgeTree scanner community includes other Hot Folder third-party applications such as Kofax Capture and CAPSYS CAPTURE. Kofax captures paper and electronic documents in a digital format, transforms that content into accurate data and then delivers the resulting information to an organization’s business applications and repositories. CAPSYS CAPTURE is an application that allows users to tailor and manage their capture processes online, without requiring programming or scripting, based on the document requirements specific to their business.
